Zoom AI Companion FAQ

General 

Is meeting data secure when Zoom AI Companion is turned on in a meeting? 

Zoom does not use your data to train external AI learning models. Zoom does not use any of your audio, video, chat, screen sharing, attachments or other communication — such as poll results, whiteboard and reactions — to train Zoom’s or any third-party artificial intelligence models. Learn more about how Zoom AI Companion handles your data.   

Certain features of Zoom AI Companion do share data with third-party AI models. However, none of those features are enabled for UW Zoom. 

As the meeting host, what happens when I click the AI Companion button during a meeting? 

As the meeting host, when you click the AI Companion button during a meeting, a meeting transcript and meeting summary are generated and stored in your UW Zoom account after the meeting has ended. By default, only the meeting host has access to the stored meeting transcript and summary. During the meeting, participants are able to ask AI Companion questions about the meeting. 

Meeting transcripts are stored in your UW Zoom account for 120 days, then are automatically deleted. For UW Medicine and School of Medicine staff, meeting transcripts are saved for 30 days, then are automatically deleted. Meeting hosts can view, download, and delete meeting transcripts from the Transcripts page in the Zoom web portal.

Meeting Summaries are stored in your UW Zoom account for 30 days, then are automatically deleted. Meeting hosts can view, edit, share, and delete Summaries from the Zoom Summaries page in the UW Zoom web portal

How do I know that AI Companion is running during the meeting?  

Meeting participants are alerted when Zoom AI Companion starts.

What features are available with UW Zoom AI Companion?

UW Zoom offers AI-based features, branded as "Zoom AI Companion," to help UW faculty, staff, and students improve productivity and collaborate more effectively.  

The UW Zoom service team only enables features that are HIPAA-aligned, FERPA compliant, and meet UW privacy and security policies. Accordingly, the following Zoom AI Companion features have been authorized for use at UW, including UW Medicine:

All other Zoom AI Companion features are disabled and unauthorized for use at UW.

I see something called the Zoom AI Companion panel in UW Zoom settings. Is that the same thing as Zoom AI Companion?

No, Zoom AI Companion and the AI Companion panel are not the same thing, but they are related. Zoom AI Companion is a suite of AI-powered features that can help with various tasks within Zoom Workplace. The AI Companion panel is a specific interface or window within the Zoom app where users can access and interact with these AI features. The AI Companion panel is not available for UW Zoom, as indicated by “Locked by admin” and is not needed for using Zoom AI Companion. 

 

Zoom AI Meeting Summary 

Who can enable Meeting Summary? 

By default, all AI Companion features, including Meeting Summary, are disabled during a Zoom meeting. Meeting hosts are the only people who can enable the Meeting Summary feature during a Zoom meeting by clicking the AI Companion button in the meeting toolbar.

I am the host of the Zoom meeting, and I don't want AI Companion to run during meetings I host. What are my options?

By default, all AI Companion features, including Meeting Summary, are disabled during a Zoom meeting. Meeting hosts are the only people who can enable the Meeting Summary feature during a Zoom meeting by clicking the AI Companion button in the meeting toolbar. As the meeting host, if you do not want AI Companion to run during the meeting, do not press the AI Companion button on the in-meeting toolbar. To remove the AI Companion button from your in-meeting toolbar, disable the AI Companion options on the AI Companion settings page in your Zoom web portal. 

I'm not the host of the Zoom meeting, and I don't want AI Companion to run during the meeting. What are my options?

By default, all AI Companion features are disabled during a Zoom meeting. Only the meeting host can start AI Companion during the meeting. As a meeting participant, if you don't want AI Companion to run during the meeting, consider notifying the meeting host. As a meeting host, consider asking meeting participants for permission to start AI Companion. 

Is meeting data automatically collected when Zoom AI Meeting Summary is enabled on the AI Companion settings page?

No. Meeting data will not be collected for an AI-generated meeting summary unless a meeting host starts AI Companion during the meeting or enables meeting summary to automatically start for all meetings they host. 

Do meeting hosts have to manually enable Meeting Summary in each meeting? 

No. Meeting hosts can adjust their settings on the UW Zoom web portal settings page to have Meeting Summary start as soon as a meeting begins, skipping the need to manually enable summary generation in their meetings. When Meeting Summary is set to start automatically by default, meeting summary will begin as soon as someone starts the meeting.  

If meeting hosts prefer to enable Meeting Summary for select meetings, adjust the remind me setting to be reminded to enable it during the meeting.

How are meeting summaries accessed? 

After the meeting, the host can delete, share, and edit meeting summaries from the UW Zoom web portal Summaries page. By default, only the host has access to the Meeting Summary.

  1. Meeting host login to UW Zoom at https://washington.zoom.us 
  2. On the left-navigation menu, click Summaries.
  3. View a list of your Meeting Summaries to share, view summaries shared with you, and view summaries in the Trash.

How long is the Meeting Summary available in my Zoom account? 

Meeting Summaries are available in your UW Zoom account for 30 days, then move to the Trash. After 30 days in the Trash, Meeting Summaries are permanently deleted. 

I need the Meeting Summary to be available longer. Can I download the Meeting Summary?

Zoom does not offer the ability to download Meeting Summaries. UW policy limits availability of Meeting Summaries to 30 days. It is not possible to extend the 30 day availability of Meeting Summary.

How is data used to generate a summary of the meeting? 

Meeting Summary uses in-meeting data to generate the Meeting Summary document. Meeting Summary does not collect data until the meeting host or co-host starts the Meeting Summary from the in-meeting toolbar. Meeting participants receive a notification Meeting Summary has started. Participants choosing to remain in the meeting with Meeting Summary enabled will be included in the Meeting Summary.
