Recordings, transcripts, and summaries created in Microsoft Teams should only be kept as long as needed. Selecting the correct Retention Label will ensure your data isn't lost before its time. |
Finding and Changing a Retention Label in Teams
As of October 6, 2026, new Microsoft Teams meeting recordings, transcripts, and AI-generated summaries (Intelligent Recap) have a default retention period of 120 days. This means that 120 days after this content is created, it will automatically be deleted unless you take action to keep it longer.
This page explains how to change the retention period for this content in OneDrive, Teams, or SharePoint.
To find and change a retention label:
- Navigate to the file in OneDrive, Teams, or SharePoint.
- Select the file and click More Actions (...), and then select Details.

- Place your cursor in the Apply label field and select the appropriate label from the dropdown:
-
- If the record was created on or after October 6, 2026, the default label will be 120 Days. You can change this label to 3 years if you have a documented business, compliance, legal, audit, governance, or institutional reason that the content needs to be retained for longer than 120 days."
- If the record was created before October 6, 2026, the label will be Teams Meeting Artifacts. These records will be retained indefinitely unless you change the retention label.
